Configuration tabs specific to GoldMine

Additional Contacts
This tab allows DoubleLook, DoubleNotes and CompanionLink Professional users to choose to synchronize the contacts that appear on the Contacts tab of a record in GoldMine. By default, these do not synchronize. If this option is selected, all of the contacts from the Contacts tab will synchronize to the handheld as new records with an asterisk after the last name. This asterisk indicates that these are additional rather than primary contacts. They will synchronize as new records and do not contain a link to the primary contact that they appear under in GoldMine.

NOTE: If you uninstall or install our software on a new computer or otherwise cause our software to lose its .dat files that contain its record of what it has synched, our software will not know that these are additional contacts. By default, these would sync back into GoldMine as new records. If you are using CompanionLink, we recommend doing a purge and reload instead in these situations. If you are using DoubleLook or DoubleNotes, we recommend selecting the advanced option to reread data from GoldMine and when the purge and reload option appears, to select this.


Database
This tab allows you to select which GoldMine database you wish to synchronize with. You can find this information by opening GoldMine and looking in the lower lefthand corner. The name there is the name of your database.

NOTE: Do NOT use the Browse button. If your database name is not listed in the dropdown menu, then there is something else wrong with your configuration settings. Your database name should always be in the dropdown menu.


Executable File
This tab has three boxes, Executable Path, User ID and Password. These settings allow our software to access your GoldMine program. They should be set so that they are the same as the settings you use to get into GoldMine.

  • Executable path: You can find this by right-clicking the shortcut you use to open GoldMine, and then clicking on Properties. On the Shortcut tab, the Target line contains the executable path to GoldMine.
  • User ID: You can find this in GoldMine by looking in the lower righthand corner immediately to the left of the date. This is not case sensitive.
  • Password: You cannot find this information in GoldMine. GoldMine does not require a password, so you may not have one. If you do have one, make sure that your Caps Lock key is off when you enter your password in our software, as the password is case sensitive.

Filter/Group
This tab allows you to choose a filter or a group from GoldMine to synchronize with your handheld instead of all the contact records. All of the filters and groups you see in GoldMine should be listed here. You may only select one item from the dropdown menu.

Warnings:

  • Filters must be simple. We recommend using only one or two terms in your filter.
  • Our software stores the terms of your filter instead of reading the filter on each sync and therefore cannot see changes made to the filter terms in GoldMine unless the following is done:
    • If you change the terms of the filter in GoldMine, and you are using CompanionLink:
      1. Disconnect your handheld.
      2. Open CompanionLink Setup.
      3. Click on Settings. If you see the user profile screen, click Next.
      4. Click Next and Configure.
      5. Click on the Filter/Group tab.
      6. Change this to 'All Records'.
      7. Click Apply, OK, Next and Finish.
      8. Exit CompanionLink.
      9. Reopen CompanionLink.
      10. Click on Settings. If you see the user profile screen, click Next.
      11. Click Next and Configure.
      12. Click on the Filter/Group tab.
      13. Reselect your filter.
  • For DoubleLook and DoubleNotes, we do NOT recommend changing the terms of your filter, because you would need to do the same steps as for CompanionLink, but your software will prompt you to do an initial sync multiple times. If you need to do this, please contact our Technical Support department.

Notes
This tab allows you to choose whether to synchronize the notes from the GoldMine contact's Notes tab or History tab to the notes area of the contact in the sync destination (the handheld with CompanionLink, Outlook with DoubleLook, or Lotus Notes for DoubleNotes) and how many of these to transfer. Our software can synchronize the notes from either the Notes tab or the History tab. Synchronizing Notes from the Notes tab allows you to enter notes in the sync destination and have these sync back into GoldMine.

If you choose the History tab, then nothing from the Notes tab in GoldMine will synchronize. Any notes entered into the notes area of a contact in the sync destination will be removed and will NOT be synchronized to GoldMine.

General

GoldMine SQL
CompanionLink Express is NOT compatible with GoldMine SQL. CompanionLink Professional, DoubleLook and DoubleNotes are compatible with GoldMine SQL. If you are using GoldMine SQL you will need to make sure that your SQL logon name and password are entered in GoldMine. Please see the steps below for instructions in how to do this:
  1. If you do not have Master rights in GoldMine, someone who does must logon to GoldMine.
  2. Go to the File menu, then click Configure and User's Settings.
  3. Click on the user name in question.
  4. Press the Properties button.
  5. Select the Access tab.
  6. At the bottom of this tab, the "SQL Logon name" and "SQL Password" must be filled in with the correct values in order for CompanionLink to log in.
  7. If values needed to be filled in, press OK at the bottom of the Properties dialog when done. (You should not have to restart GoldMine or reboot).


Errors and synchronization issues

Configuration errors and the Category Field tab
The easiest way to check for an error in your configuration is to click on the Category Field tab. When you click on this tab, our software will attempt to read your GoldMine database. If it cannot, it will give you an error message. This is the same error message you would get if you tried to synchronize with this configuration.

The best order to use when configuring the GoldMine settings is:

  1. Fill in the Executable File tab information.
  2. Click on the Database tab and select your database.
  3. Click on Category Field to see whether you receive an error.
    • If you do not receive an error, click on the dropdown menu on the Category Field tab and verify that there are fields listed here other than 'No Mapping' and 'Business'.
    • If you do receive an error, correct this error, then retry the Category Field tab to make sure the error has gone away.


Data not transferring

Activities not synching.
The most common reason why your GoldMine activities will not synchronize is because they do not transfer by default. By default, your GoldMine calls, next actions and appointments will synchronize to your calendar, and your GoldMine todos will sync to your tasks/todos. CompanionLink Express users can only synchronize calls, next actions, appointments and todos.

If you are using CompanionLink Professional, DoubleLook or DoubleNotes, you can change the default items to be transferred. Please follow the steps below.

  • For CompanionLink:
    1. Disconnect your handheld.
    2. Open CompanionLink Setup.
    3. Click on Settings. If you see the User Profile screen, click Next.
    4. Click Next and Configure.
    5. Click on the Datebook Map tab.
    6. Put checkmarks next to the activities you wish to sync to your handheld's calendar/datebook area.
    7. Click on the Todo Map tab.
    8. Put checkmarks next to the activities you wish to sync to your handheld's tasks/todo list area.
    9. Click Apply, OK, Next and Finish.
    10. Exit CompanionLink.
  • For DoubleLook/DoubleNotes:
    1. Right-click the DoubleLook/DoubleNotes icon in the Windows system tray.
    2. Choose DoubleLook/DoubleNotes Setup.
    3. Click Next and Configure.
    4. Click on the Datebook Map tab.
    5. Put checkmarks next to the activities you wish to sync to your handheld's calendar/datebook area.
    6. Click on the Todo Map tab.
    7. Put checkmarks next to the activities you wish to sync to your handheld's tasks/todo list area.
    8. Click Apply, OK, Next and Finish.
    9. Exit DoubleLook/DoubleNotes.

You cannot check an item on both tabs. The consequences of checking an item on a given tab have been listed below. (Note: The sync destination for CompanionLink would be the handheld, for DoubleLook would be Outlook and for DoubleNotes would be Lotus Notes.)

  • Checking an activity type on the Datebook Map tab and unchecking it on the Todo Map tab will result in the activity transferring to the Datebook/Calendar area of the sync destination.
  • Unchecking an activity type on the Datebook Map tab and checking it on the ToDo Map tab will result in the activity transferring to the Todo List/Tasks area of the sync destination.
  • Unchecking an activity type on both the Datebook Map and the Todo Map tab will result in the activity type not transferring at all.
  • You cannot check an activity on the both the Datebook Map and Todo Map tabs. Doing so will result in no data transferring for the Datebook/Calendar or the Todo List/Tasks areas of the sync destination.

Notes not synching.
With GoldMine, you can synchronize either the notes from a record's Notes tab or from the History tab. You cannot choose both.

If you choose the History tab, then nothing from the Notes tab in GoldMine will synchronize. Any notes entered into the notes area of a contact in the handheld (or Outlook/Lotus Notes if you are using DoubleLook/DoubleNotes) will be removed and will NOT be synchronized to GoldMine.


Filters not synching.
Generally, this problem is caused by changing the terms of the filter in GoldMine. Please see Filter/Group for more information.

Recurring activities not synching.
GoldMine does not support true recurring activities. Because of this, it is not possible to sync recurring activities to GoldMine. However, GoldMine activities created as recurring should sync properly.
