How to Conquer Calendar Time Zone Turmoil While Traveling
When you travel there can be a lot of issued with Calendar events and time zones as your Phone and PC are usually set to Automatically shift to the new time zone when they are next turned on. This can cause a lot of issues for scheduling new and already scheduled events. This guide will discuss a few strategies to help with these issues.
Issues with PC Time Zone Changes
The default Time Zone setting for Windows is to automatically set your PC's Time and Time Zone. Normally this does not cause any issues, but if you use a Laptop and travel, this one setting can cause numerous issues with Email Clients, Calendar and Alarms. Things that can be effected by PC Time Zone's changing:
- Email Send\Receive Times: Any emails sent while in the new time zone will be set to the new Time Zone.
- Calendar Events: All new events will be created in the PC New Time Zone which can cause issues when you return home.
- Alarms: All new alarms created in the New Time Zone will have incorrect times when you return home.
Manually Set Your PC's Time Zone
When traveling we recommend manually setting your PC Time Zone before you leave. To set your PC Time Zone manually:
Windows 10/11:
- Click the Start Menu of Windows and select the Gear on the left to open the Settings.
- Click on Time & language on the left and click the Date & time tab.
- Turn off the “Set time zone automatically” toggle switch to enable the Time zone setting.
- Select your current Home Time Zone.
Windows 7/8:
- Click the Windows Start button and then select Control Panel.
- Click Date and Time.
- Click the Change Time Zone button.
- From the Time Zone menu, select your Home Time Zone and click OK.
Now when you travel your PC time, settings, events and other programs that might have issues with time zone changes will remain in working order.
Issues with Mobile Time Zone Changes
The default Time Zone setting for Mobile devices is also to automatically set your PC's Time and Time Zone. The same issues and confusion from this one setting can cause also numerous issues with Email Clients, Calendar and Alarms. Things that can be effected by PC Time Zone's changing:
- Email Send\Receive Times: Any emails sent while in the new time zone will be set to the new Time Zone.
- Calendar Events: All new events will be created in the PC New Time Zone which can cause issues when you return home.
- Alarms: All new alarms created in the New Time Zone will have incorrect times when you return home.
This can effect Outlook App, the Google Calendar App, the Default Calendar of iPhone\Android, and any other time\date sensitive items such as email clients.
Manually Set your Phone's Time Zone
When traveling we recommend that you manually set your Mobile Phone Time Zone before you leave. Set the Default Time Zone for Android:
- Open the Android Settings.
- Select the General Management option and tap "Time and Date".
- Disable the Automatic Time Zone option.
- Tap the Time Zone field and select your Home Time Zone.
Set the Default Time Zone for iPhone\iPad:
- Open the iPhone\iPad Settings App.
- Select General Settings option and tap "Time & Date".
- Disable the "Set Automatically" option.
- Tap the Time Zone field and select your Home Time Zone.
Setting Your Default Time Default Time in DejaOffice on Mobile
The DejaOffice app has been designed accommodate a phone's changed Time Zone via a setting to select the "Default Time Zone". By default this option will be set to "Use the Phone's Time Zone, however when a Time Zone change has been detected, the first time you create a new event, you will get a prompt to use the Phone's Time Zone or to select a Default Time Zone. If you set a Default Time Zone for new events you can allow the Time Zone of the phone to be set to the new "local" time zone, but have new events added to the DejaOffice Calendar to use your selected Time zone independently. To check the Default Time Zone:
DejaOffice for Android:
- Open DejaOffice, select Settings and Calendar Settings.
- Scroll to the bottom of this menu and tap "Default Time Zone".
- Select the Time Zone you want All New Events to use in DejaOffice.
- Note: This Setting will also automatically appear the first time you create a new event when a Phone Time Zone change has been detected.
Time Zone Shift in DejaOffice on Mobile
DejaOffice offers a a Time Zone Shift setting which allows you to either maintain the Absolute Time of an Event when in a new Time Zone (IE: If an Event is at 11 AM PST, it appears at 11 AM on the DejaOffice Calendar, even if the phone is set to EST) or to "Shift" the display of events (IE: If an Event is set for 11 AM PST, it appears at 2 PM if the Phone is in EST. The shift options are only a display, internally all events maintain their original Time Zone. When using DejaOffice after opening the Calendar for the first time, if a Time Zone change is detected you will see a prompt "Your Time Zone has changed. Are these Times Correct". Selecting No will enable the Time Zone Shift and Display your events in the Local Phone Time. To Manually set\change the Time Zone shift options:
DejaOffice for Android:
- Open DejaOffice, select Settings and General Settings.
- Scroll down and tap "Time Zone Shift".
- Note: Setting Time Zone Shift to "No" will maintain their Original Local Time Zone Time. (IE: An event created at 4 PM PST will Display at 4 PM when the phone is in EST.)
- Note: Setting Time Zone Shift to "Yes" Shift Timezone will display events in the current Local Time (IE. An event created at 4 PM PST will Display at 7 PM when the phone is in EST.).
DejaOffice for iPhone\iPad:
- Open DejaOffice, select Settings and General Settings.
- Scroll down and tap "Time Zone Shift".
- Note: Setting Time Zone Shift to "No" will maintain their Original Local Time Zone Time. (IE: An event created at 4 PM PST will Display at 4 PM when the phone is in EST.)
- Note: Setting Time Zone Shift to "Yes" Shift Timezone will display events in the current Local Time (IE. An event created at 4 PM PST will Display at 7 PM when the phone is in EST.).
