How to Transition Outlook Google Sync without Exchange

CompanionLink offers a smooth and clean alternative to Outlook Google Sync.

Users may have received messages from Google about "Google Sync" being deprecated. This "Google Sync" is actually for syncing Google account data through an Exchange account. What is being deprecated is non Oauth logins to Google accounts.

Moving your data in Outlook

Because Outlook Google Sync connects to the folder structure of Outlook it is required that you move your data to an independent Outlook folder. The steps are: remove the Google Exchange account, re-add the account as an IMAP, create a new local PST file for contacts and calendar. When you remove the Google Exchange account, the email will be deleted, but when you re-add the account, email will return, any data that was offline only will be lost. IMAP does not support syncing contacts and calendar so you will need to use a program like CompanionLink.

Reconnecting Gmail to Outlook without Exchange

First, you will need to reconnect your Google Account to Outlook as IMAP. Use the following steps:

  1. Open Outlook, click "File" in the top left.
  2. Click "Account Settings", then "Account Settings"
  3. Click "New"
  4. Use the following guide to connect the Gmail account to Outlook located Here
  5. Once the Account is added go to the "Data Files" tab
  6. Click "Add"
  7. Choose any name for the data file such as "Google" and click OK
  8. Select the new data file that was just created and then click "Set As Default".
  9. Close and reopen Outlook.
  10. Open the Contacts/People in Outlook. On the left under My Contacts, click the folder associated with Exchange Account and do the following to move the contacts to the new folder:
  11. Click View, select Change View on the left, and select List.
B. In the contacts list, click one contact to highlight it and press Ctrl + A to highlight all contacts in the list.
C. Drag and drop the highlighted contacts to the new secondary Contacts folder, release the right click and select Copy Here.
  1. Repeat the above step 6 for Calendar, Tasks, and Notes in Outlook.
  2. When all data is in the new folders, click File > Click Account Settings, and select it again from the drop-down.
  3. Under the Email tab, select the Google associated account > click remove. Choose Yes when asked and close this menu.


Now that the data file has been removed from Google's control and the data exists in the local Folders we can install the CompanionLink Program.

Installing and Setting up CompanionLink

Now you can Install CompanionLink to sync Contacts, Calendars, and Tasks between Google and your new Outlook Folders.

1. Once you have done the above steps. You can now install CompanionLink to keep both Outlook and Google in sync.
2. Register CompanionLink if you have a license (otherwise skip this and use the 14 day free trial)
3. Once CompanionLink for Google has been installed, open the program and select Settings on the left.
4. A Google sign-in page will appear. In this box please enter your email address and click Next.
  • Be sure to enter the full Google email address.
5. In this box please enter your Gmail password and click Sign In.

6. Click the Allow Access button in the bottom right to finalize the Google Login.
7. Click Ok in the bottom right and press the Sync button to start the synchronization.
