Remove Duplicates With CompanionLink
CompanionLink 7 and higher have a new duplicate removal feature for Google, Custom Exchange, DejaCloud, Outlook, and Act!. Be sure you are the latest build of your version of CompanionLink. Check our Software Updates Page for the latest downloads. Always backup your database before running a Dedupe.
IMPORTANT NOTE: Dedupe in CompanionLink will only remove exact duplicates. Exact duplicates means that every field of each record matches exactly. If the duplicates are similar but not exact you can use our CompanionLink Duplicate Remover product: Click Here
How to Remove Duplicates on your PC with CompanionLink 8 through 10
Remember to back up your database before attempting a dedupe!
- Open CompanionLink and select Settings on the left.
- Select the desired Dedupe [Database] (ie, Act!, Outlook, Android, DejaCloud, Google, etc).
- Check the conduits to Dedupe and click Ok.
If you use DejaCloud Sync, you can this process for DejaCloud with sync to Android, iPhone, DejaCloud, Google, etc). Note: For USB Sync - modern Android and iPhones phones cannot make a two-way USB serial connection. Instead, Dedupe the PC side database, and then do a wipe and reload sync.
After the deduplication process is complete, if the PC Database (ie Act!, Outlook, etc) is correct\the best data, you can also perform a wipe and reload from your database. This will clear the sync destination (ie, Android, iPhone, DejaCloud, Google, etc) and reload the PIM data that has just been cleaned.
Dedupe with CompanionLink for Google using CompanionLink 8 and 9:
CompanionLink for Google has a slightly different menu than the other version of CompanionLink. To dedupe with CompanionLink for Google 8 or 9:
- Open CompanionLink and select Settings on the left.
- Find and select the Support Tab at the top.
- Select Dedupe Outlook (or Google if the duplicates are just in Google).
- Check the conduits to Dedupe and click Ok.
How to Remove Duplicates on your PC with DejaOffice PC CRM
Remember to backup your database before attempting a dedupe!
- Open DejaOffice PC CRM and select Settings on the left.
- Click Sync Settings and then click the Settings under PC Data Source
- Note you can Dedupe DejaOffice PC CRM data using either Settings button
- Go to the Support tab then Select Dedupe [Database] (ie, Act!, Outlook DejaOffice PC CRM, etc) on the left.
- Check the conduits to Dedupe and click Ok.
Repeat this process for the Mobile Phone or Tablet side (ie, Android, iPhone, DejaCloud, Google, etc). Note: You cannot Dedupe the Mobile device side if the sync method is set to USB, Dedupe the data from the PC/Database side then do a wipe and reload sync.
After the deduplication process is complete, if the PC Database (ie Act!, Outlook, DejaOffice PC CRM, etc) is correct\the best data, you can also perform a wipe and reload from your database. This will clear the sync destination (ie, Android, iPhone, DejaCloud, Google, etc) and reload the PIM data that has just been cleaned.
Deduplicate Advanced Options
Sometimes duplicated data is messy and you require advanced help to clean it all up.
Ignore times on date comparisons
- Enabling this feature will remove calendar duplicates that occur at different times of the day. (Often caused by an incorrect timezone setting)
Keep First Retrieved" vs "Keep Oldest Modified
- Both these options attempt to the earliest record available in the database, they just do so in different ways.
- "Keep First Retrieved" refers to keeping a record with the lowest record ID
- "Keep Oldest Modified" refers to keeping a record that has the oldest modified date/time
Ignore after Special Character
- Enabling this feature will remove duplicates that contain varying special characters
Ignore Category Comparisons
- Enabling this feature will remove duplicates that contain differing Categories but all other fields are the same.
Ignore Note Comparisons
- Enabling this feature will remove duplicates that contain differing Notes but all other fields are the same.
Limits
- In cases where dedupe fails or times out due to a large number of duplicates (100k+ dupes), this feature will limit the number of records deduped each attempt.
Delete DAT Files
- Enabling this will delete the files that have recorded your previous syncs and trigger CompanionLink to read over all the data again. Generally, you want to leave this feature enabled.
