Remove duplicates from your PC
Microsoft Outlook
Outlook 2010, 2013, and 2016
- Go to the Contacts window.
- Right-click on the fields at the top of the screen.
- Click 'View Settings'.
- Click Columns.
- At the top-left of the screen, select 'All Contact Fields' from the dropdown.
- In the list double click "Created". This should move the field to the right side of the list.
- Hightlight "Created" on the right, click the up arrow at the bottom to move the selection to the top of the list.
- Click OK.
- A new column for "Created" should appear in the top left of the Contacts list. Click it to Sort by that created date.
- What you are looking for is the same date and same time and then just highlight and delete all dupes.
(Note: This may be also done by changing the View to By Category and adding the column 'Modified'. By changing the view to By Category, you can do this for any area of OL.)
For Calendar, repeat the same steps above for your Outlook Calendar.
Outlook 2007
- Go to the Contacts window in Outlook
- Right-click on the fields at the top of the screen
- Click 'Customize current view.'
- Click Group By
- At the bottom-left of the screen, select 'All Contact Fields' from the dropdown.
- At the top-left of the screen, select Created.
- Click OK.
- Expand it so that the dates and times can be read.
- What you are looking for is the same date and same time and then just highlight and delete all dupes.
(Note: This may be also done by changing the View to By Category and adding the column 'Modified'. By changing the view to By Category, you can do this for any area of OL.)
For Calendar, repeat the same steps above for your Outlook Calendar.

- Go to the Contacts window.
- Click on the 'View' Menu, then 'Arrange By', then 'Current View', then 'By Category'.
- Right-click on the fields at the top of the screen.
- Click 'Customize Current View...'.
- Click Group By.
- At the bottom-left of the screen, select 'All Contact Fields' from the dropdown.
- At the top-left of the screen, select Created.
- Click OK.
- Expand it so that the dates and times can be read.
- What you are looking for is the same date and same time and then just highlight and delete all dupes.
(Note: This may be also done by changing the View to By Category and adding the column 'Modified'. By changing the view to By Category, you can do this for any area of OL.)

ACT! 2005 or higher
- Go to the Lookup menu.
- Choose By Example.
- Go to Advanced
- Find the field, Create Date.
- Put in the date of the sync. For example, 4/23/07.
- Click on the Search button.
- A box will prompt you to select a query option. Select 'Replace lookup'.
- The contact list will now display those contacts that match the query terms. Delete contact records from this date that are already included in your ACT database.
ACT! activities: You can select multiple activities by holding down the CONTROL button and clicking on the items you want to erase. Once you have them selected, right-click the items and choose Clear Multiple Activities. From the next window, select Erase, and choose OK.
ACT! 3.0 to 6.0
Below are some instructions for removing duplication for ACT! 3.0 to 6.0, including ACT! 2000. Before doing any major changes to your database, please first create a new backup of your database.
To remove duplicate contacts: Use an ACT! query to select all the contacts added the day the duplicates were created, then delete these.
- Go to the Lookup menu.
- Choose By Example.
- Find the field, Create Date.
- Put in the date of the sync. For example, 4/23/07.
- Click on the File menu.
- Choose Save.
- Click on the Query menu.
- Choose Run.
- The contact list will now display those contacts that match the query terms. Delete all the items in the contact list. This will remove all the entries created on the day of the sync.
To remove duplicate activities:
- Go to the Task List.
- Make sure all types, priorities, dates, and cleared records are displayed.
- Click on the Date column to sort.
- Delete the duplicate records.
NOTE: Make sure to choose Erase, not Clear.
GoldMine
Note: You must have master rights to delete records in GoldMine.
- Go to Lookup > Filters.
- Click the New button.
- Provide a name for the filter, then click the Build tab.
- Under the Field Name drop-down menu, choose 'Creaton'.
- Under the Operator drop-down menu, select 'Equal to'.
- In the Value field, enter the date on which the duplicates were created in the following format: mm/dd/yy
- Click the Insert Condition button, then click OK.
- Highlight your new filter in the Filters list, then click the Activate button.
- Go to Tools > Delete Records Wizard.
- Select 'Delete ALL (filtered) contact records)', and click Next.
- In the drop-down box, select the filter you've just created, and click Next.
- Check all boxes. Type the phrase in the box, and click Next.
- Uncheck Synchronize Deletions, and click Finish.
