Using Custom Fields
DejaOffice PC CRM uses Custom Contact fields to allow you entering personalized data into fields with labels you can set. DejaOffice PC CRM Standalone has a total of 9 Custom Fields. The Express and Professional version have a total to 20 custom fields. You can upgrade to Express or Pro at any time to increase your number of Custom Contact fields.
Setting Custom Contact Field Labels
Additionally to having custom fields to use for your own data, you can also set Labels for each of these fields so the Detail and Edit Panels display exactly what you want to see. These field and Labels also sync with both mobile versions of DejaOffice. To set Labels for the Custom Contact Fields:
- Open DejaOffice PC CRM and select Settings.
- Select Contact Settings from the main settings list.
- Click the "Set Custom Field Labels" option.
Here you can label the Custom Fields 1-9 (and 10 - 20 in Express and Pro) anything you like. All Existing Custom Fields will change to the new label when saved.
Swapping Custom Fields
If you decide later you want the Custom Contact fields to appear in a different order, you can use the Swap option. This will switch the Field Label and the Field data with another Custom Contact field. To Swap:
- Open DejaOffice PC CRM and select Settings.
- Select Contact Settings from the main settings list.
- Click the "Set Custom Field Labels" option, then select the "Swap" button in the bottom left.
Here you can choose two existing custom fields and swap their positions. This will swap them in the DPC Contact Edit, Detail Panel and on Mobiles on the next sync.
Change Custom Contact Fields into a Drop Down List
If you would rather have Custom Contact fields be a drop down list with predefined items you can convert any custom field into a Drop Down. This will take any existing data in the selected custom field and make it a selectable list item. To change a Custom Contact field into a drop down:
- Open DejaOffice PC CRM and select Settings.
- Select Contact Settings from the main settings list.
- Click the "Set Custom Field Labels" option.
- In the Custom Field Label Menu click the Pencil Icon next to the field you want to make into a drop down, then click Yes on the prompt.
- In the following menu you can add, remove or edit items that will appear in the drop down for the selected custom field.
- Note: Any existing data in the Custom Field you selected will be converted into an existing entry for the list.
You can also edit the list of items in the drop down in the Contact Edit Panel under the Custom Fields section. Click the Drop Down via the Edit Panel and click "Manage". Any Data you add to the mobile in a Custom Field will sync back to DPC, to add it to the List of Drop Down options use the Manage feature and select "Default". This will add entries added from the Mobile that do not already exist in the drop down list to the list.
